Electronic Delivery of W-2 Disclosure Statement

IRS Regulations state that each employee who requests to receive his/her W-2 form electronically must provide consent. If you do not consent to receive your W-2 form electronically, a paper copy will be delivered to you via the United States Postal Service. By clicking on 'Receive my W-2 only in electronic format’ you attest that you’ve read this Disclosure Statement and consent to receive your W-2 form electronically. You also agree to return to this site to access your W-2 form on-line. If you consent to receive your W-2 form electronically, you will receive notice via your ECC email account that your W-2 is available; the subject line of the email notification will be "IMPORTANT TAX RETURN DOCUMENT AVAILABLE". W-2 forms will be available electronically until October 16th of the fourth year following the calendar year to which the W-2 form relates. The W-2 form may be required to be printed and attached to a Federal, State, or local income tax return. The system requirements and procedures to access and print your W-2 form are outlined below.

System Requirements:

  1. You must have access to your Elgin Community College issued email to receive notifications about tax statements.
  2. End-user computers must have the following components installed:
    1. A browser that supports the HTML 5.0 standard, such as (but not limited to) Internet Explorer, Safari, or Firefox.
    2. JavaScript must be enabled.
    3. Cookies must be enabled.
    4. Adobe Acrobat Reader

Scope and Duration

Your consent will be valid for the current year as well as future years unless and until consent is revoked or withdrawn by you.

Withdrawal

You may revoke your consent and receive your W-2 form in a paper format delivered to you by the United States Postal Service by selecting 'Withdraw my consent' or by submitting a withdrawal request in writing (electronically or on paper) to Elgin Community College, Attn: Payroll Department, 1700 Spartan Drive, Elgin, IL, 60123, email: dharmon@elgin.edu. If you do not revoke your consent prior to December 31 of any given year, you will need to access your W-2 form for that year electronically. A confirmation that your revocation to receive your W-2 electronically has been received will immediately appear in the ‘Consent History' section of the website.

Termination

Upon separation from employment with Elgin Community College, statements due to you after your separation will be delivered to you via United States Postal Service.

Request for Copy

If you have consented to receive your W-2 form electronically, you may still request a paper copy be delivered to you via United States Postal Mail by sending a request via email or regular mail to Elgin Community College, Attn: Payroll Department, 1700 Spartan Drive, Elgin, IL, 60123, email: dharmon@elgin.edu. The email subject line must state “Request for Paper W-2 Form.” A request such as this does not constitute a withdrawal of electronic consent and only the most current W-2 form will be furnished and mailed to you.

Your Contact Information

It is important that the address and phone number Elgin Community College has on file for you is correct. You may review this information by accessing the accessECC Portal, click on Employees, and then select Address Change. If the information listed is not accurate, you may update the information directly on the electronic Address Change Form and click SUBMIT. Please note that your Elgin Community College email address will be the email address on file for you.
